Privacy policy

When you supply this clinic with your personal details they are securely stored for 4 reasons. We’ve highlighted in bold all the relevant terms in GDPR (General Data Protection Regulation) which is the law and we have a legal obligation to retain this information.

  1. We must collect personal information about your health so we can provide you with the correct and appropriate treatment. By you requesting treatment and our agreement to provide that treatment constitutes a contract. You may refuse to provide the information, however if you were to do that we would be unable to provide treatment.

  2. We have a Legitimate Interest to collect that information, without the information we would be unable to safely and effectively do our job.

  3. We believe it’s important that we can contact you so we can confirm your appointments with us or to update you on matters that relate to your healthcare. This also constitutes Legitimate Interest but in this instance it’s your legitimate interest.

  4. As long as we have your consent, we may send you health information such as relevant advice, articles or newsletters. You can of course withdraw this consent at any time, simply inform us verbally or via appropriate means.

We have a legal obligation to retain your records for 8 years after your last appointment date. After this 8 year period you may ask us to delete your records if you wish. If you do not ask for your records to be deleted we will retain your records for an indefinite period so we are able to provide you with the best possible care if and when you need to see us at a later date.

Where we keep your information

We store your information on paper in a locked filing cabinet and the clinic is locked out of working hours.

What information we collect

We collect and process information when you phone or email the clinic to book a treatment and when you visit the clinic in person. We will ask you for:

  • Name

  • Date of birth

  • Address

  • Phone number

  • Email address

  • General health

  • Past health

  • Current and past conditions

  • Any medications being taken

  • Reason for visit

  • Doctors name

  • Sports and lifestyle

Our website provider ‘Squarespace’ and ‘third party’ providers may also collect your personal data. Click here to view how they collect your information and what they collect.

How we use this information

  • To maintain a legal record of any treatment or advice we supply

  • To provide the best possible treatment and care

  • To confirm appointments 

  • With your permission we may liaise and pass on your information to other health or medical professionals who may be involved in your care

We won’t ever share your personal information/data with anyone who doesn’t require access unless you have given written consent. Only the following individuals will have access to your information/data:

  • Your therapist(s) so that they can provide you with the best possible treatment

  • Other admin staff, such as our accountant. Admin staff will not have access at anytime to your medical records, just your contact details.

You have the right to see and request a copy of the personal data of yours that we retain and you may also ask us to correct any factual errors. You may also request us to delete your records provided the legal minimum period of 8 years has expired.

If you feel we are mishandling your personal data in any way, you have the right to make a complaint which must be sent to what is referred to in jargon terminology as the “Data Controller”. Below are the details to send any complaint to:
